Supplier and Subcontractor Contract Templates

This is why Matrak is providing draft text that can be included in the supplier + subcontractor contracts, to set the right clarity from Day 1.

To get started, we recommend your team makes the following additions to your contracts and other documentation:

• Supply-Chain Trackingin the relevant Scope of Work / Reporting Requirements sections, and
• Embodied Carbon Tracking for China Sourced Materialsin the relevant Compliance or Certification section.

Supply-Chain Tracking

The supplier/subcontractor is required to update a record of items and tasks completed in the Matrak platform on a monthly basis as a condition for payment. These updates must include one or more of the following as appropriate:

• Product Reports
• Shipping Dockets
• Packing Lists
• Logistics/Warehouse Inventory Reports
• Installation progress
• Quality reports/Inspection and Test Plans (ITPs), as applicable

These updates may be submitted either:

• Directly through the Matrak platform (accessible at www.matrak.com), or
• By copying wudi@cbme.cn on any email correspondence containing the above documents.
  

Embodied Carbon Tracking for China-Sourced Materials

Matrak, in partnership with the China Building Material Exhibition and Trade Centre (CBME), a subsidiary of the China Building Material Federation, provides comprehensive embodied carbon tracking for products sourced from China.

Where the subcontractor or supplier sources products directly or indirectly from China, the following requirements apply:

1. Provide Approved Embodied Carbon Certificates: The supplier must provide an approved embodied carbon certificate (such as EPD, LCA, GGT, PHD).
2. Ensure Shipment Tracking: Record all shipments of products in Matrak, including product quantities and weights. This can be done through:The Matrak platform, including its Chinese interface, or By copying wudi@cbme.cn on any email containing shipping information.

Alternatively, the supplier can coordinate directly with CBME to receive a carbon assessment and assistance in tracking production data to share with downstream clients via Matrak.

Note: If an approved embodied carbon assessment is not available for a specific product or supplier, Matrak and the client reserve the right to use industry-standard rating tools to estimate the Global Warming Potential (GWP).
